We're pretty serious about keeping your info safe. Here's the full scoop on how we handle your data at our complex.

Welcome to Our Privacy Policy

Look, we get it - nobody really wants to read through pages of legal stuff. But since you're trusting us with your personal info when you book courts, sign up for camps, or just browse our site, we figured you deserve to know exactly what we do with it. We've tried to keep this straightforward and honest, 'cause that's how we roll at Eldryn Spire.

When you're using our facilities or booking online, we're gonna need some basic stuff from you. Nothing too crazy, just what makes sense for running a sports complex:

Personal Details
  • Your name, email, and phone number (so we can confirm bookings and reach out if there's a schedule change)
  • Mailing address if you're signing up for memberships or programs
  • Emergency contact info for youth camps - safety first, you know?
  • Date of birth for age-appropriate league placement
Payment Information
  • Credit card details or payment method (processed securely through our payment partners, we don't actually store your full card numbers)
  • Billing address and transaction history
Usage Data
  • How you navigate our website, which pages you check out, how long you hang around
  • Your IP address, browser type, and device info
  • Booking patterns and facility preferences (helps us understand what's popular)
Health & Safety Info
  • Medical conditions or allergies you tell us about (only for youth programs and personal training)
  • Waiver forms and liability releases
  • Incident reports if something happens on-site

We're not in the business of selling your data or bombarding you with spam. Here's what we actually do with your info:

Manage Your Bookings

Process reservations, send confirmations, handle cancellations, and keep your schedule straight.

Handle Payments

Process your payments securely and send receipts. Pretty standard stuff.

Keep You in the Loop

Send updates about your bookings, facility changes, new programs, or special events. You can opt out anytime.

Improve Our Services

Figure out what's working and what's not, so we can make things better for everyone.

Safety & Security

Prevent fraud, maintain facility security, and keep everyone safe while using our complex.

Legal Compliance

Meet Canadian privacy laws and other regulations we've gotta follow.

We're not gonna sell your email to random companies or anything sketchy like that. But there are a few trusted partners we work with:

Quick note: Anyone we share data with is bound by strict confidentiality agreements and Canadian privacy standards.
Payment Processors

Companies like Stripe or Square that handle credit card transactions securely. They've got way better security than we could build ourselves.

Booking Software Providers

The platforms that power our online booking system and keep everything running smoothly.

Email & Communication Services

Tools we use to send out booking confirmations, newsletters, and updates.

Insurance Companies

Only when necessary for claims or liability issues - and only the relevant details.

Legal Authorities

If we're legally required to (like a court order), but we'll push back on unreasonable requests and let you know when legally allowed.

Yeah, we use cookies - but not the chocolate chip kind. These little files help make your experience better and keep you logged in.

Essential Cookies

These are the ones that make the website actually work. They remember your booking session, keep you logged in, and maintain security. Can't really turn these off without breaking stuff.

Analytics Cookies

Help us understand how people use the site - like which pages are popular or where folks get confused. We use this to make improvements.

Marketing Cookies

Track whether our ads are working and remember your preferences. You can disable these if you want.

Managing Cookies

Most browsers let you control cookies through settings. Just know that blocking all cookies might make some features wonky. You can update your preferences using that banner at the bottom of the page.

We take security seriously around here. Your data's protected with industry-standard measures:

SSL Encryption

All data transmitted between you and our servers is encrypted.

Secure Servers

Your info's stored on protected servers with restricted access.

Regular Audits

We regularly review and update our security practices.

Real talk: No system's 100% hack-proof. We do our best, but if there's ever a breach, we'll let you know ASAP and help you protect yourself.

Under Canadian privacy law (PIPEDA), you've got some solid rights when it comes to your personal data:

Access Your Data

Request a copy of what personal info we've got on file. We'll get it to you within 30 days.

Correct Mistakes

If something's wrong or outdated, let us know and we'll fix it up.

Delete Your Info

Want us to erase your data? We'll do it, unless we legally have to keep it (like tax records).

Opt Out of Marketing

Don't wanna hear about new programs or deals? Just hit unsubscribe in any email or let us know.

Download Your Data

Get a portable copy of your information to take elsewhere if you want.

To exercise any of these rights:

Shoot us an email at info@eldrynspire.info or call (604) 555-2847. We'll need to verify it's really you first, but then we'll get on it right away.

We run youth camps and programs, so this one's important to us. Here's how we handle info from kids under 16:

Parental Consent Required

We need a parent or guardian's permission before collecting any info from minors. No exceptions.

Limited Collection

We only grab what's necessary for camp registration, safety, and emergency contacts - nothing more.

Parent Access

Parents can review, update, or request deletion of their kid's info anytime. Just reach out to us.

Note: Photos taken during youth programs are only used with explicit parent consent, and we never tag kids by name on social media.

We don't keep your info forever - just as long as we need it or as long as the law requires:

Booking Records 7 years (for financial and legal reasons)
Payment Info Until transaction's complete, then securely deleted
Marketing Data Until you unsubscribe or 3 years of inactivity
Account Data As long as your account's active, plus 1 year
Security Footage 30 days unless needed for an investigation

Once the retention period's up, we securely delete or anonymize your data so it can't be traced back to you.
