We're pretty serious about keeping your info safe. Here's the full scoop on how we handle your data at our complex.
Look, we get it - nobody really wants to read through pages of legal stuff. But since you're trusting us with your personal info when you book courts, sign up for camps, or just browse our site, we figured you deserve to know exactly what we do with it. We've tried to keep this straightforward and honest, 'cause that's how we roll at Eldryn Spire.
When you're using our facilities or booking online, we're gonna need some basic stuff from you. Nothing too crazy, just what makes sense for running a sports complex:
We're not in the business of selling your data or bombarding you with spam. Here's what we actually do with your info:
Process reservations, send confirmations, handle cancellations, and keep your schedule straight.
Process your payments securely and send receipts. Pretty standard stuff.
Send updates about your bookings, facility changes, new programs, or special events. You can opt out anytime.
Figure out what's working and what's not, so we can make things better for everyone.
Prevent fraud, maintain facility security, and keep everyone safe while using our complex.
Meet Canadian privacy laws and other regulations we've gotta follow.
We're not gonna sell your email to random companies or anything sketchy like that. But there are a few trusted partners we work with:
Companies like Stripe or Square that handle credit card transactions securely. They've got way better security than we could build ourselves.
The platforms that power our online booking system and keep everything running smoothly.
Tools we use to send out booking confirmations, newsletters, and updates.
Only when necessary for claims or liability issues - and only the relevant details.
If we're legally required to (like a court order), but we'll push back on unreasonable requests and let you know when legally allowed.
Yeah, we use cookies - but not the chocolate chip kind. These little files help make your experience better and keep you logged in.
These are the ones that make the website actually work. They remember your booking session, keep you logged in, and maintain security. Can't really turn these off without breaking stuff.
Help us understand how people use the site - like which pages are popular or where folks get confused. We use this to make improvements.
Track whether our ads are working and remember your preferences. You can disable these if you want.
Most browsers let you control cookies through settings. Just know that blocking all cookies might make some features wonky. You can update your preferences using that banner at the bottom of the page.
We take security seriously around here. Your data's protected with industry-standard measures:
All data transmitted between you and our servers is encrypted.
Your info's stored on protected servers with restricted access.
We regularly review and update our security practices.
Under Canadian privacy law (PIPEDA), you've got some solid rights when it comes to your personal data:
Request a copy of what personal info we've got on file. We'll get it to you within 30 days.
If something's wrong or outdated, let us know and we'll fix it up.
Want us to erase your data? We'll do it, unless we legally have to keep it (like tax records).
Don't wanna hear about new programs or deals? Just hit unsubscribe in any email or let us know.
Get a portable copy of your information to take elsewhere if you want.
To exercise any of these rights:
Shoot us an email at info@eldrynspire.info or call (604) 555-2847. We'll need to verify it's really you first, but then we'll get on it right away.
We run youth camps and programs, so this one's important to us. Here's how we handle info from kids under 16:
We need a parent or guardian's permission before collecting any info from minors. No exceptions.
We only grab what's necessary for camp registration, safety, and emergency contacts - nothing more.
Parents can review, update, or request deletion of their kid's info anytime. Just reach out to us.
Note: Photos taken during youth programs are only used with explicit parent consent, and we never tag kids by name on social media.
We don't keep your info forever - just as long as we need it or as long as the law requires:
| Booking Records | 7 years (for financial and legal reasons) |
| Payment Info | Until transaction's complete, then securely deleted |
| Marketing Data | Until you unsubscribe or 3 years of inactivity |
| Account Data | As long as your account's active, plus 1 year |
| Security Footage | 30 days unless needed for an investigation |
Once the retention period's up, we securely delete or anonymize your data so it can't be traced back to you.
